AI Lead Management
Capture, qualify and follow up every enquiry — and get the right ones to the right person.
Inbound enquiries are classified, checked against your criteria, completed with any missing details and written to your CRM, with follow-ups on time and unusual requests escalated to a person.
Who this is for
- Businesses where speed of response affects whether you win the job
- Teams collecting enquiries from several forms, inboxes and directories
- Sales or office staff spending time on poorly matched enquiries
The problem
Where time and leads are lost today
Enquiries arrive in different formats and often lack the details needed to respond properly. Someone has to read each one, decide whether it is a fit, chase the missing information, enter it into the CRM and remember to follow up. When that person is busy, good leads go cold.
Signs this service is a fit
- Enquiries sometimes wait a day or more for a first reply
- You regularly have to email back asking for basic details
- The CRM is missing records or has inconsistent fields
- Follow-ups depend on someone remembering
The solution
How we solve it
Capture from every source
Website forms, shared inboxes and supported lead sources feed one pipeline, so nothing sits unread in a separate tool.
Classification & qualification
Each enquiry is categorised by service, location, timing and size, then checked against explicit criteria you can read and change.
Missing-information requests
If key details are absent (address area, photos, budget range), a short approved message asks for them before the lead reaches sales.
CRM updates & routing
A complete, de-duplicated record is created or updated, and the right employee is notified with a summary.
Follow-ups and escalation
Timed follow-ups stop when the lead replies. Urgent, high-value or out-of-pattern requests go straight to a person.

See all pricingSecurity & human oversight
- Qualification criteria are documented and reviewable — not a black box
- Automated messages are limited to approved templates; tailored replies to important leads go through a person
- Lead data is stored only in systems you approve
- Unsubscribe and opt-out handling for follow-up messages
- Failure alerts if a lead can't be written to the CRM
Limitations to know about
- It doesn't quote prices, confirm availability or negotiate — those replies come from your team
- Leads below your threshold are flagged for review, not rejected or deleted automatically
- Qualification is only as good as the criteria you give it; vague criteria produce vague results
- Outbound prospecting and cold marketing campaigns are out of scope

Frequently asked questions
Will AI decide which customers we reject?
No. AI helps categorise enquiries, but the criteria are yours and leads below the threshold are flagged, not deleted. A person can always review them.
We don't have a CRM yet. Is that a problem?
No. We can start with a simple, well-structured pipeline (for example in a spreadsheet or Airtable) and recommend a CRM if your volume justifies it.
Can you guarantee more sales?
No one can honestly guarantee that. What we can do is make sure every lead is answered promptly, recorded properly and followed up, and give you the data to see the effect.
Do follow-ups comply with email marketing rules?
Follow-ups are designed as replies to enquiries the person initiated, with opt-out options. Marketing campaigns to people who haven't asked to hear from you are out of scope.
