Lead management

Real estate lead qualification: portal enquiries matched, routed and booked for viewings

This illustrative example applies real estate lead qualification automation to an agency receiving enquiries from property portals, its website and email. The proposed workflow matches each enquiry to the correct listing, records what the applicant has actually stated, routes it to the responsible agent and offers viewing slots from authorised calendars, with agents handling negotiations and eligibility decisions.

A fictional lettings and sales agency with two branches and six agents. This page shows how we would design the workflow; it is not a client project and claims no results.

The business problem

Where time and enquiries get lost

Portal notifications, website forms and emails arrive in different formats and land in a shared inbox. A branch administrator forwards them by hand, often without the listing reference or a summary, and agents repeat the same qualifying questions for every applicant.

Viewings are arranged through long email and phone threads, then entered into calendars separately. Duplicate CRM records and missed handoffs are common when the person who receives an enquiry is not the agent who owns the property.

The manual process today

  1. 01Review each portal notification and email individually
  2. 02Search for the listing and check whether it is still available
  3. 03Ask applicants for budget, preferred area, timing and other required details
  4. 04Copy information into the CRM, sometimes creating duplicates
  5. 05Coordinate viewing times by email or phone
  6. 06Forward enquiries to agents without a consistent summary

Proposed workflow

How the automation would work

A qualification workflow that links every enquiry to an approved listing, extracts the applicant's stated requirements without filling gaps, applies the agency's routing rules and offers viewing slots that are confirmed only once both the applicant and the agent have agreed.
  • Automated step
  • A person reviews or acts
  1. 01

    Enquiry received (automated)

Portal, website and email sources pass the message and listing reference into one workflow.

  2. 02

    Listing matched (automated)

The property ID or URL is checked against approved listing data.

  3. 03

    Requirements extracted (automated)

Stated budget, area, timing and questions are captured, and anything not stated is marked unknown.

  4. 04

    Agency rules applied (automated)

Fixed checks catch unavailable listings, missing qualification fields and routing rules.

  5. 05

    Reply drafted (automated)

A relevant response asks only for the information needed to move the enquiry forward.

  6. 06

    CRM updated (automated)

Contact, source, listing and summary are saved with a duplicate check.

  7. 07

    Routed to agent (automated)

The enquiry is assigned using the agency's ownership and location rules.

  8. 08

Viewing confirmed (a person reviews or acts)

Slots come from the agent's authorised calendar, and the agent confirms before the booking is final.

  9. 09

    Reminders sent (automated)

Approved confirmations and reminders go out through the chosen channel.

  10. 10

Special cases handled (a person reviews or acts)

Negotiations, legal questions, accessibility needs and complaints go straight to an agent.

In a real project, rules, tools and approval points are agreed with you during design.

Responsibilities

What AI handles, and what stays with your team

Automation and AI

  • Reading portal notifications in different formats and linking them to a listing
  • Extracting the applicant's stated budget, area, timing and questions
  • Drafting replies grounded in listing data
  • Summarising the enquiry for the responsible agent
  • Offering available viewing slots and sending approved reminders

People on your team

  • Confirming that a property is still available
  • Negotiations on price, rent or terms
  • Applicant eligibility and referencing decisions
  • Legal and contractual questions
  • Overriding routing or moving and cancelling viewings

Systems

Systems and integrations involved

  • Property portal and website integrations
  • CRM (e.g. HubSpot)
  • Listing data source
  • Calendar integration (e.g. Google Calendar)
  • Email/SMS or approved messaging channel
  • AI extraction and response drafting
  • Human review queue

Component types, not a fixed product list. We confirm which of your tools can be connected, and how, during discovery.

Safeguards

Security, privacy and exceptions

  • Replies may only use approved listing data; the workflow never invents property facts or features
  • No tenant screening or eligibility decisions are automated, and qualifying questions are reviewed for fairness and anti-discrimination compliance
  • A viewing is never promised until the calendar and the agent have confirmed it
  • Unmatched listings and portal format changes are logged and sent to the review queue rather than dropped
  • Applicant data is held in the agency's CRM with access restricted by branch and role

Measurement

What we would measure

These are measurement recommendations, not achieved results. No results are claimed; a real project would record a baseline for each metric before launch.

Potential business value

  • Agents spend their time on applicants who have shared what they are looking for
  • Every enquiry reaches the right agent with a consistent summary
  • Less back-and-forth to arrange viewings
  • A CRM the team can rely on, without duplicated contacts
  1. 01Time from enquiry receipt to first useful response
  2. 02Percentage of enquiries matched to the correct listing
  3. 03Completeness of CRM records
  4. 04Time spent coordinating each viewing
  5. 05Viewing booking and attendance rates
  6. 06Number of duplicate records and missed handoffs

FAQ

Questions about this workflow

Does the AI decide whether an applicant is suitable for a property?
No. It collects the details the agency asks for and records exactly what the applicant said. Eligibility, referencing and any decision about who is offered a property stay with the agents.
What if a portal changes the format of its notifications?
Enquiries that cannot be matched to a listing are not discarded. They are logged and placed in the review queue, and the parsing rules are updated during routine maintenance.
Can applicants book viewings themselves?
They can choose from slots the agent has made available in their calendar. The booking is confirmed only once the agency's confirmation rules are met, so agents keep control of their diary.
