AI Booking & Scheduling

Let customers request and book appointments without the back-and-forth.

An assistant that collects the right details, offers times based on your real calendar availability, sends reminders and keeps your team informed.

Who this is for

  • Clinics and appointment-based businesses
  • Photographers and event suppliers
  • Contractors, consultants and service businesses

The problem

Where time and leads are lost today

Finding a time that suits both sides can take several messages. Details needed for the appointment are often missing, and no-shows cost time that could have been booked by someone else.

Signs this service is a fit

  • Booking a single appointment takes several emails or calls
  • You often lack information you need before the appointment
  • No-shows or late cancellations are a regular cost

The solution

How we solve it

We connect a booking assistant to your calendar so it only offers genuinely available times, collects the details your team needs, and handles confirmations and reminders.

Real availability

Times are read from your calendar at booking time, including buffers and working hours.

No duplicate bookings

Slots are checked again at the moment of booking to prevent double booking.

Intake questions

Relevant questions are asked up front, such as location, type of service or preparation needed.

Reminders

Confirmation and reminder messages reduce no-shows and make rescheduling easy.

Staff notifications

The right team member gets the booking with the details attached.

Security & human oversight

  • Bookings are only made against live calendar availability
  • Clinics: administrative scheduling only — no medical advice, triage or clinical decisions
  • Minimal collection of personal data, with special-category data avoided unless strictly necessary
  • Customers can always reach a person to change or cancel
  • Calendar access limited to the calendars required

Limitations to know about

  • It relies on your calendar being accurate; appointments kept elsewhere can't be seen
  • Pricing, deposits and payment terms are not negotiated by the assistant
  • Complex jobs that need a site survey or consultation first are routed to staff to schedule
  • For clinics, it never assesses symptoms or decides urgency

Frequently asked questions

Can it handle several staff calendars?

Yes. We can route bookings by service type, location or staff member, and check availability across several calendars.

We are a clinic. Can the assistant answer medical questions?

No. For clinics the assistant only handles administrative tasks such as booking, reminders and general practice information. Clinical questions are routed to qualified staff.

Do we need to change our booking tool?

Usually not. We prefer to integrate with what you already use if it has a suitable API.

What if someone books a slot that was just taken?

The slot is checked again at the moment of booking. If it's no longer free, the customer is offered alternatives.
