Customer support

Multilingual AI customer support for a tour operator: booking enquiries in several languages

This illustrative example applies multilingual AI customer support to a tour operator receiving booking questions in several languages through its website, email and messaging channels. The proposed workflow detects the language, answers only from approved experience information and live availability, separates confirmed facts from details needing staff confirmation and escalates refunds, accessibility questions and complaints.

A fictional coastal tour and boat-trip operator running small-group experiences for international visitors. This page shows how we would design the workflow; it is not a client project and claims no results.

The business problem

Where time and enquiries get lost

Customers write in English, German, French, Spanish and Italian, asking about availability, duration, meeting points, accessibility, cancellation terms and what is included. Staff translate messages, look up the right experience and check availability, often during the busiest part of the season.

Translation by hand is slow, and it is easy to make an accidental promise about a schedule or service. Answers vary depending on who replies and which version of the terms they have to hand.

The manual process today

  1. 01Translate incoming messages manually or with ad hoc tools
  2. 02Find the correct experience description and current terms
  3. 03Check availability in the booking system for each request
  4. 04Reply in the customer's language, often from memory
  5. 05Re-enter booking details into the CRM or booking system
  6. 06Forward complaints and special requests to the owner

Proposed workflow

How the automation would work

A multilingual assistant that keeps the original message, translates internally where helpful, answers from an approved knowledge base and the live booking system, and sends confirmations only when the booking system confirms the status. Anything uncertain is flagged for staff rather than turned into a promise.
  • Automated step
  • A person reviews or acts
  1. 01

    Enquiry captured (automated)

Messages from website chat, email and messaging channels are stored with the original text.

  2. 02

    Language detected (automated)

The language is identified and an internal translation is prepared for staff.

  3. 03

    Request identified (automated)

Experience, date, group size, language preference and questions are extracted.

  4. 04

    Approved answers retrieved (automated)

Answers come only from approved descriptions, current terms and availability data.

  5. 05

    Missing details requested (automated)

The assistant asks for missing information in the customer's supported language.

  6. 06

    Availability checked (automated)

Live availability is checked through the authorised booking system.

  7. 07

    Reply drafted (automated)

The response separates confirmed information from anything that needs staff confirmation.

  8. 08

    Booking request recorded (automated)

A lead or booking request is created with the conversation summary attached.

  9. 09

Staff handle exceptions (a person reviews or acts)

Complaints, refunds, accessibility confirmations and supplier disruptions are handled by staff.

In a real project, rules, tools and approval points are agreed with you during design.

Responsibilities

What AI handles, and what stays with your team

Automation and AI

  • Detecting the language and preparing internal translations
  • Identifying the experience, date and group size from free text
  • Answering common questions from approved content in the customer's language
  • Checking live availability before mentioning it
  • Creating booking requests with a conversation summary

People on your team

  • Prices, discounts and group rates
  • Cancellation and refund decisions
  • Confirming accessibility arrangements
  • Safety information and weather-related changes
  • Supplier commitments and final exceptions

Systems

Systems and integrations involved

  • Booking engine
  • Experience catalogue
  • Website chat or messaging integration
  • Approved multilingual knowledge base
  • CRM
  • Calendar or availability API
  • Workflow automation
  • Human handoff

Component types, not a fixed product list. We confirm which of your tools can be connected, and how, during discovery.

Safeguards

Security, privacy and exceptions

  • Availability is never stated without checking the booking system, and confirmations are sent only when the booking system confirms the status
  • Replies must not turn uncertainty into a definite promise; unconfirmed details are clearly marked as pending staff confirmation
  • The original message is kept alongside every translation so staff can check meaning
  • Supported languages are defined up front; messages in other languages go straight to staff
  • If the booking system is unreachable, the assistant acknowledges the enquiry and queues it rather than guessing

Measurement

What we would measure

No results are claimed for this illustrative example. A baseline would be recorded for each language and channel first, so any later comparison reflects like-for-like enquiries.

Potential business value

  • Visitors get answers in their own language, grounded in current terms
  • Staff no longer translate routine questions by hand
  • Fewer accidental promises about availability or inclusions
  • Complaints and special requests reach a person quickly
  1. 01Time to first useful response by language
  2. 02Percentage of enquiries correctly matched to an experience
  3. 03Booking conversion by channel and language
  4. 04Number of corrections to translated or generated replies
  5. 05Rate of booking details that require manual correction
  6. 06Customer satisfaction and complaint rate

FAQ

Questions about this workflow

Which languages can it handle?
The business chooses the supported languages, and the approved content is reviewed in each one. Messages in other languages are passed to staff with an internal translation.
Can it take bookings directly?
It can create a booking request and, where the booking system supports it, complete a booking for available slots. Confirmations are only sent once the booking system confirms the status.
What happens when a tour is cancelled because of the weather?
Cancellations and changes are decided by staff. Once a change is recorded in the booking system, the assistant can send the approved notification in each customer's language.
