Business Process Automation
Take repetitive admin off your team's plate and stop entering the same data twice.
We automate the routine work between your apps — incoming emails and documents, data sync, summaries and reports — using proven platforms and AI only where it genuinely helps.
Who this is for
- Teams using several apps that don't talk to each other
- Office managers and owners doing repetitive admin
- Businesses that have tried DIY automations that keep breaking
The problem
Where time and leads are lost today
Information is typed into a form, copied into a spreadsheet, pasted into an email and entered again in another system. Each step is small, but together they take hours every week and create errors that are hard to trace.
Signs this service is a fit
- The same data is entered in more than one place
- Someone sorts and forwards a shared inbox by hand every day
- Reports are assembled manually every week or month
- Existing automations fail silently and nobody notices
The solution
How we solve it
Incoming email handling
Specific emails are recognised, key details pulled out, and a task, ticket or record created in the right place.
Structured data from free text
Details buried in messages and attachments become consistent fields other systems can use.
System sync
Customer, order and project data stays consistent across CRM, spreadsheets and accounting without re-typing.
Summaries & reports
Daily digests and weekly or monthly reports are compiled and delivered automatically.
Approvals built in
Steps with consequences — invoices, customer messages, record deletions — pause for a person to approve.
Example workflow
New customer onboarding without re-typing
- Automated step
- A person reviews or acts
- 01
Deal marked won (automated)
A deal is set to won in the CRM.
- 02
Records synced (automated)
Customer details are copied to project and accounting tools.
- 03
Folder & documents (automated)
A client folder and welcome pack are created from templates.
- 04
Invoice draft (automated)
A draft deposit invoice is prepared in accounting software.
- 05
Approval (a person reviews or acts)
The project lead checks the invoice and welcome email.
- 06
Kick-off email (automated)
The approved welcome email is sent to the client.
- 07
Weekly report (automated)
Onboarding status appears in the weekly summary.
Illustrative workflow. Nothing financial or customer-facing is sent without the approval step.

Implementation
What we'll need from you
- A walkthrough of how the task is done today (a screen recording is ideal)

- Example data for testing — anonymised where possible
- Agreement on what should happen when something goes wrong
- An owner on your side who signs off each workflow
Expected benefits
How we measure whether it's working
Staff hours on repetitive tasks
Hours per week spent on the process before and after automation.
Data entry errors
Corrections needed per month in the target system.
Automation failure rate
Failed runs as a share of total runs, from monitoring logs.
Process cycle time
Time from trigger (e.g. deal won) to completion (e.g. onboarding sent).
Pricing guidance
€500–€3,000 implementation (indicative)
One straightforward workflow typically fits Starter Workflow. Several connected workflows with error handling, monitoring and training fit Business Automation.
Automation platform subscriptions (e.g. Zapier, Make, hosted n8n) are paid directly by you. Optional Managed Support covers monitoring and fixes.
Quote process: free consultation → written scope with a fixed implementation price → build.
See all pricingSecurity & human oversight
- Least-privilege access: automations only get the permissions they need
- Credentials stored in the automation platform's secret store, never in documents or email
- Approval steps before invoices, refunds or customer-facing messages are sent
- Error alerts and run logs without unnecessary personal data
- Handover documentation so the workflow isn't dependent on us
Limitations to know about
- It automates a process that already works; it won't fix a process nobody agrees on
- Every connected tool needs a usable API or integration — some legacy systems don't have one
- Third-party API changes can break a workflow; monitoring catches it, but someone has to fix it
- High-accuracy extraction from invoices, contracts or forms is handled under Document & Data Automation

Frequently asked questions
Which platform do you recommend: n8n, Make or Zapier?
It depends. Zapier is quick to start, Make handles more complex flows at lower cost, and self-hosted n8n gives more control over data and cost at higher volumes. We recommend one after looking at your requirements.
Who owns the automations?
You do. Automations are built in accounts you own wherever possible, and we provide documentation.
What happens if an app changes its API?
Monitoring alerts us when runs start failing. Under a support plan we fix integration changes within the agreed scope; otherwise we quote the fix.
Do all automations use AI?
No. Many of the most reliable automations are simple rules. We only add AI where it genuinely helps, such as reading unstructured emails.
