Lead management

AI lead management for an electrical contractor: enquiry triage and quote follow-up

This illustrative example shows AI lead management for a contractor whose enquiries arrive by web form, email and phone while the team is on site. The proposed workflow structures each enquiry, checks it against the service area and job list, asks for missing details and keeps unanswered quotes in a follow-up queue, while pricing and safety advice stay with the electricians.

A fictional 14-person electrical contractor serving a mid-sized city and its surrounding towns. This page shows how we would design the workflow; it is not a client project and claims no results.

The business problem

Where time and enquiries get lost

Enquiries range from EV charger installations and electrical certificates to fault finding and larger rewires. They arrive through the website, two inboxes and voicemail, often without an address, photos or a clear description of the job.

The owner sorts them in the evening, works out which jobs are in the service area and chases missing details a day later. Quotes that go out are tracked in a spreadsheet, so follow-up depends on whoever remembers to check it.

The manual process today

  1. 01Read and sort messages across several inboxes and voicemail
  2. 02Copy customer and job details into a spreadsheet or CRM by hand
  3. 03Email each customer separately to ask for missing information
  4. 04Decide case by case whether a job fits the service area and team capacity
  5. 05Spot out-of-area or unsuitable jobs only after a call-back
  6. 06Rely on memory to chase quotes that have had no reply

Proposed workflow

How the automation would work

A lead pipeline that turns each enquiry into a structured record, applies the contractor's own service-area and job-type rules, drafts clarification requests and routes suitable work to the right person. Sent quotes join a follow-up queue that runs only under a policy the owner has approved.
  • Automated step
  • A person reviews or acts
  1. 01

    Enquiry captured (automated)

Website form and connected inboxes pass every new enquiry into one pipeline.

  2. 02

    Details structured (automated)

Contact details, location, requested service, urgency and any photos are extracted.

  3. 03

    Validated (automated)

Required fields are checked and possible duplicate enquiries are flagged.

  4. 04

    Job classified (automated)

AI suggests a job category and priority using rules agreed with the contractor.

  5. 05

    Service fit checked (automated)

Deterministic rules compare postcode and job type with the coverage area and service list.

  6. 06

    Missing details requested (automated)

A tailored clarification message is drafted when the address, photos or access notes are missing.

  7. 07

    Lead recorded and routed (automated)

The enquiry is written to the CRM and the responsible person receives a short summary.

  8. 08

Exceptions reviewed (a person reviews or acts)

The office manager handles safety concerns, complaints and uncertain classifications.

  9. 09

Quote prepared (a person reviews or acts)

An electrician assesses the job, sets the price and sends the quote.

  10. 10

    Quote follow-up (automated)

Unanswered quotes are chased at the agreed interval, and the sequence stops as soon as the customer replies.

In a real project, rules, tools and approval points are agreed with you during design.

Responsibilities

What AI handles, and what stays with your team

Automation and AI

  • Extracting contact, location and job details from free-text enquiries
  • Suggesting a job category and priority for the team to confirm
  • Drafting clarification requests that ask only for what is missing
  • Writing a short summary for the person the lead is routed to
  • Queueing and sending approved quote follow-ups

People on your team

  • Technical assessment of every job
  • Final pricing and the content of every quote
  • Any safety advice given to customers
  • Accepting or declining work, including borderline service-area cases
  • The wording and timing of follow-up messages

Systems

Systems and integrations involved

  • Website form or email integration
  • CRM or spreadsheet (e.g. Pipedrive)
  • Workflow automation platform
  • AI classification and message drafting
  • Email/SMS provider
  • Team notifications

Component types, not a fixed product list. We confirm which of your tools can be connected, and how, during discovery.

Safeguards

Security, privacy and exceptions

  • Enquiries mentioning burning smells, exposed wiring, shocks or water near electrics bypass automation and alert a person
  • Prices and quotes are never generated or sent automatically
  • Service-area and job-type checks use fixed rules, not AI judgement, so they are predictable and auditable
  • Failed CRM writes or message sends are retried and logged, with an alert if a lead cannot be saved
  • Customer data is stored only in the contractor's own systems, with access limited to staff who handle enquiries

Measurement

What we would measure

No results are claimed for this illustrative example. In a real project we would record a baseline for each metric before launch and compare the same metrics over an agreed period afterwards.

Potential business value

  • Customers get a prompt, relevant acknowledgement even when the whole team is on site
  • Electricians arrive at site visits with the details and photos they need
  • Quotes no longer go quiet because nobody remembered to chase them
  • Out-of-area and unsuitable jobs are identified before staff time is spent on them
  1. 01Median time from enquiry to first response
  2. 02Percentage of enquiries with complete contact and job details
  3. 03Percentage of enquiries correctly routed
  4. 04Quotes awaiting follow-up beyond the agreed interval
  5. 05Enquiry-to-site-visit and quote-to-booking conversion rates
  6. 06Staff time spent on repetitive administration

FAQ

Questions about this workflow

Can the AI give customers a price?
No. It can collect the information an electrician needs to price the job, but quotes are always prepared and sent by a person. Pricing depends on site conditions that an automated system cannot assess.
What happens with phone enquiries and voicemails?
If your phone provider can export voicemails, they can be transcribed and passed into the same pipeline as written enquiries; we confirm this during discovery. Where transcription is unclear, the record is marked for a call-back rather than guessed.
Will follow-up messages annoy customers?
The owner sets the number of follow-ups, the interval and the wording. The sequence stops as soon as the customer replies or the quote is marked as accepted or declined.
