Escalation rule

Urgent, unclear or out-of-area requests skip the automation and go straight to a person.

Illustrative workflow run with sample data: an enquiry is classified, a reply is drafted, the CRM is updated, and a person approves the reply before it is sent.

What we automate

The work software should already be doing.

Slow replies, copied data and forgotten follow-ups quietly cost time and sales. These are the jobs we take off your team's plate.
  1. 01

Leads waiting too long for a response

Instant acknowledgement, qualification and routing of every new enquiry.

Shorter first-response time, fewer leads lost to faster competitors.

  2. 02

    Repetitive customer questions

An assistant that answers from your approved knowledge base and escalates the rest.

Less time on routine replies; staff focus on complex conversations.

  3. 03

Manual copying of data between applications

Integrations that move data between forms, CRM, email and accounting automatically.

Fewer hours of admin and fewer data-entry errors.

  4. 04

    Missed follow-ups

Scheduled follow-up sequences that stop when the customer replies.

Higher follow-up completion rate without relying on memory.

  5. 05

    Time-consuming appointment scheduling

Booking against live calendar availability, with reminders.

    Less back-and-forth and fewer no-shows.

  6. 06

    Inconsistent CRM records

Structured extraction into consistent fields, with de-duplication.

Reliable pipeline data you can report on.

  7. 07

    Manual reporting and administrative work

Scheduled reports compiled and delivered automatically.

Up-to-date numbers without a weekly spreadsheet session.

Construction & Home Services

AI lead management for an electrical contractor: enquiry triage and quote follow-up

This illustrative example shows AI lead management for a contractor whose enquiries arrive by web form, email and phone while the team is on site. The proposed workflow structures each enquiry, checks it against the service area and job list, asks for missing details and keeps unanswered quotes in a follow-up queue, while pricing and safety advice stay with the electricians.

Real Estate & Property Management

Real estate lead qualification: portal enquiries matched, routed and booked for viewings

This illustrative example applies real estate lead qualification automation to an agency receiving enquiries from property portals, its website and email. The proposed workflow matches each enquiry to the correct listing, records what the applicant has actually stated, routes it to the responsible agent and offers viewing slots from authorised calendars, with agents handling negotiations and eligibility decisions.

Marketing agency workflow automation: client onboarding and monthly reporting

This illustrative example shows marketing agency workflow automation for two repeated processes: onboarding a newly signed client and preparing the monthly performance report. The proposed workflow sets up the workspace from a template, chases missing assets, gathers and validates report data and drafts commentary, but nothing reaches a client until an account manager has approved it.

Safeguards

Automation your team can rely on — and overrule.

AI is useful when it is bounded. These are the rules every project is built around.

Human oversight

Anything consequential — prices, refunds, contracts, sensitive topics — is approved by a named person. The AI drafts; your team decides.

Data protection

Least-privilege access to your tools, AI provider settings that keep your data out of model training where offered, and agreed retention periods.

Reliability

Validation on every AI output, retries and alerts on failures, and logs of what ran and why, so problems are found by us, not your customers.

Built on your stack

We connect the CRM, inbox, calendar and accounting tools you already pay for instead of asking you to switch platforms.

FAQ

Straight answers before you book.

More detail on pricing and our process.
What does AI automation cost?

Implementation is quoted as a fixed price for an agreed scope. As an indication, a single Starter Workflow is typically €500–€1,000, Business Automation €1,500–€3,000, and a Custom AI System from €3,000 to €8,000 or more. Optional Managed Support runs from around €100 to €500+ per month, and third-party subscriptions and AI usage are paid separately.

How long does implementation take?

It depends on scope, access to your tools and how quickly feedback comes back. Typically, after scope is agreed, a starter workflow takes one to two weeks and larger projects three to eight weeks. We give you a timeline in the proposal rather than a promise before we've seen the work.

Which tools and CRMs can be integrated?

We commonly work with tools such as HubSpot, Pipedrive, Zoho CRM, Airtable, Google Workspace, Microsoft 365, Slack, Xero, QuickBooks and Shopify, using n8n, Make, Zapier or direct APIs. Any other tool needs a usable API or integration; we check that during discovery before quoting.

Can AI agents work with our existing systems?

Usually, yes — if those systems offer an API or a reliable export. We prefer to build around the software you already use rather than replace it. Older systems without an API may need workarounds, which we explain before you commit.

What happens when the AI cannot answer?

It says so rather than guessing, records the question and passes it to a named person with the context attached. Which topics always go to a person is agreed with you before launch.

How is customer data protected?

Automations only get the access they need, credentials are kept server-side, and data is processed in services you approve with an agreed retention period. Incoming messages and documents are treated as untrusted input, and actions with consequences require human approval.

Are third-party and AI API costs included?

No. Software subscriptions, AI model usage and per-message fees (such as SMS or WhatsApp) are paid directly to the provider in most cases. We estimate them up front, help you set spending limits and report actual usage.

Is ongoing support available?

Yes. Managed Support covers monitoring, fixes within the agreed scope, integration maintenance and a defined amount of improvement work each month. It is optional, and it is not unlimited — the scope is written into the agreement.

Do we need technical staff?

No. We need someone who knows the process and can make decisions, plus help granting access to your tools. We provide documentation and training so your team can operate the workflow day to day.

Who owns the automations?

You do. Wherever possible we build in accounts you own, and every project ends with documentation and a handover so you are not dependent on us.
